Re: Application for Backend Software Engineer

Dear Ms. Dana Whitfield,

I'm applying for the Backend Software Engineer role at Finch Payments. I've used Finch's checkout as a customer and read your engineering post on idempotent payment retries twice, so the chance to work on that system is exactly the kind of problem I want next.

At Cartwheel Commerce I rebuilt our checkout pricing service in Java and Spring Boot, cutting p95 latency from 820 ms to 210 ms during sale traffic. I also designed the APIs for split payments that three teams now depend on, and moved 14 services to Kubernetes, taking us from weekly to daily releases. I care about the unglamorous parts too: tests, runbooks and clear code reviews.

Your job post mentions scaling Kafka consumers and reducing failed-payment noise. I've done both, and I'd be glad to walk you through how. Thank you for considering my application.

Best regards,

Priya Raman

How to write a software engineer cover letter

  1. 01

    Reference the product

One sentence showing you know what the company builds, ideally something you've used or read about, beats a paragraph of general enthusiasm.

  2. 02

Lead with your best technical result

Pick the achievement closest to the job: latency, scale, reliability, cost. Give the number and the stack you used.

  3. 03

    Answer the job post

Pick one or two requirements from the post and say directly how you've done them before.

  4. 04

    Keep it under 300 words

Engineering managers skim. Three short paragraphs are enough.

The letter, paragraph by paragraph

Opening: the role and a real reason

Priya names the role and shows she knows the product: she's used Finch's checkout and read their engineering post on idempotent payment retries. That one detail proves interest better than any praise, and it tells the reader she understands the problems the team works on.

Middle: your best technical result

The second paragraph leads with the result closest to the job: a checkout pricing service rebuilt in Java and Spring Boot, with p95 latency cut from 820 ms to 210 ms under sale traffic. Then two supporting results: split-payment APIs that 3 teams depend on, and 14 services moved to Kubernetes for daily releases.

The team-player line

"I care about the unglamorous parts too: tests, runbooks and clear code reviews" is short but answers a question every engineering manager has. It shows she'll make the team better, not just ship her own work.

Close: answer the job post

She picks two requirements from the posting (scaling Kafka consumers and reducing failed-payment noise), says she's done both and offers to explain how. Answering the posting directly makes the interview feel like the natural next step.

Length and format

About 170 words in three paragraphs. Use the same header as your resume, with GitHub, and send it as a PDF or paste it into the form. Engineering managers skim, so shorter is better.

Software Engineer cover letter by experience level

New graduate

I'm graduating in May with a BS in Computer Science and applying for the Associate Software Engineer role at Tidewater Labs. During my internship I added rate limiting to an internal API in Go and wrote the load tests that showed it held at 5,000 requests a second. I'd like to start on a team that cares about reliability as much as features, which is how your engineering blog describes Tidewater.

Frontend developer moving to backend

After three years building React interfaces at a logistics company, I'm applying for the Backend Engineer role at Quayside. The parts of my job I've enjoyed most have been on the server: I wrote the Node.js service that batches tracking updates for 40,000 shipments a day and cut our API bill by a third. I'd like to do that work full time.

Consulting firm to product company

I've spent four years at an IT services firm building Java microservices for an insurance client, and I'm applying for the Software Engineer role at Coverly because I want to own a product from start to finish. On my current project I designed the claims-status API that 2 million policyholders now use through the client's app, and I'd like to bring that care for scale to a product team.

Senior engineer

I'm applying for the Senior Platform Engineer role at Ridgeline Cloud. For four years I've led a team of five that runs the deployment platform for 300 engineers, and last year we cut median build time from 18 minutes to 6 while moving 120 services to a new cluster without an outage.

Mistakes to avoid in a software engineer cover letter

  • Repeating the resume

A letter that walks through every job in order is a resume in paragraphs. Pick one or two results that match this team and explain why they matter here.

  • A list of technologies

"I know Java, Python, Go, React, Docker, Kubernetes and AWS" is what the skills section is for. Name the stack inside a result instead.

  • Generic enthusiasm

"I'm passionate about technology and excited by your innovative company" could go to anyone. One specific detail about their product or engineering work does more.

  • Ignoring the posting

If the job asks for Kafka and you've used it, say so in a sentence with a result. Hiring managers notice when a letter answers what they asked for.

Key takeaways

  • Show you know the product or the team's engineering work.
  • Lead with your result closest to the job, with the stack and a number.
  • Answer one or two requirements from the job post directly.
  • Keep it to three short paragraphs.

Questions about software engineer cover letters

Do software engineers need a cover letter?
Not always, but when a form asks for one, a short, specific letter sets you apart from the many who skip it or paste a generic one.
Should I include links to GitHub?
Put GitHub or your portfolio in the header or in the closing line, especially if it shows work related to the job.
How technical should the letter be?
Name your stack and one measurable result. Save design details for the interview.
Should I send a cover letter when I have a referral?
Yes, a short one. Mention the person who referred you in the first line ("Jordan Lee on your payments team suggested I apply"), then give your best result and why this team. It turns the referral into a conversation.
What if I can't find the hiring manager's name?
Look on LinkedIn for the engineering manager or team lead for that group. If you can't find one, "Dear Hiring Team" or "Dear [Team name] team" is fine; a correct generic greeting is better than a wrong name.
Should I mention side projects in the letter?
Only if a project is closer to the job than your paid work, for example an open-source library in the same area. Give it one sentence with a number, and link it in the header.
